Sage Intacct Release 4 of 2019

What’s new in Sage Intacct’s last quarterly release of 2019? And how is it oddly similar to getting lost in a vineyard in Saint Emilion, Bordeaux? In this blog we may not be able to deliver on fine French wine, however we will most certainly deliver on explaining notable features released in R4 such as:

  • Making dreams a reality with flexible dimensions in transactional allocations
  • Welcome changes to account groups for easier report building

Transactional Allocations Flexible Dimension Assignment

A few months ago I found myself lost in a vineyard in Saint Emilion. I experienced what I imagine it might be like to own a vineyard in France. A lifelong dream. Luckily, we ended up in a private wine tasting instead of a foreign country’s jail. A picture for reference:

Another dream? Having the ability to auto-populate the vendor dimension on AP transactions when using allocations.

What’s changed?

From Intacct’s release notes: “during transaction entry, you can now select dimensions on the fly that were not included in your transaction allocation definition and enter them on the transaction line.”

How is it used?

Do you always split your internet bill between departments in the same manner? For example, 25% to Admin, 10% to Finance, 30% to Sales, and so on? Rather than enter a multi-line bill every time you receive the internet bill, you could set up a template that applies these percentages to your full bill amount.

You have the following Transaction Allocation Table for allocating your internet bill setup in Intacct:

Then, on the first line of your AP bill, you select your allocations template. This automatically splits your $100 bill between departments. As of this release, no longer are all dimensions grayed out when you select an allocation template. (Previously you couldn’t even select a Vendor!) Notice now, the two dimensions: department and location, are grayed out because they are contained in our allocation template. However, the vendor dimension is not grayed out and auto-populates from the header.

The allocation split table hidden on the row shows our allocation being applied.

Any configuration change requirements?

There are no changes to the configuration required. Wondering how exactly to set up transactional allocations? Follow the step by step guide in our transaction allocation setup and use blog. (Screenshots and navigation have been updated for the New UI).

Account Group Management Improvements

Speaking of getting lost, as you grow your business with Intacct, your account group list also tends to grow. Over time, finding your way around your list of account groups is a lot like trying to find your way out of a vineyard in France. Google maps is no help, and you find yourself thinking that fence really isn’t that high. Just as you were about to climb the fence though, a welcoming vineyard owner opens his door to you for a wine tasting. As welcome was the sight of Patrick in Saint Emilion, so too are the changes made to account groups in this release.

What’s changed in Intacct?

From Sage Intacct’s release notes:

  • “the ability to assign an Account group purpose for each account group, which can later be used for filtering. This option gives you enhanced filtering power, making it faster and easier to limit the list of account groups when creating reports…
  • the Account group manager field. See who manages an account group by including the account group manager in the account group information.”

How is it used?

  1. Create a new account group purpose (for example “Top Vendors Report”)
  2. Assign it to your account groups:
  3. Then, use the account group purpose as a filter in the financial report writer to show only those account groups which should belong to this report.

Any configuration change requirements?

To begin using account group purposes and managers, no configuration changes are required to enable the fields. As long as you have access to add, edit and view Account Groups, no additional permission is required. However, there is setup involved.

  • New Account Group Purposes must be added
  • Account Groups must be updated with an appropriate purpose
  • Account Groups must be updated with appropriate managers
