Sage Intacct Release 2 of 2019

A new release is like a new flavor of pizza. Will you like it? Is it going to be overly salty/spicy/weird? Should you convince your friend/significant other to order it so you can just try it first? Probably. Unless it’s amazing but then there’s the possibility that they won’t share. In which case, you might end up ordering a second pizza because can you really ever have enough pizza? 

In this post we’ll share the newest and most notable features from Sage Intacct’s second quarterly release which made its debut on Friday, May 17th. Basically, we’ve checked out the pizza for you.

Action UI as the Default

Shortly after this release the Action UI will become the default UI when a user logs in to Intacct. If you’re still a little weary here’s how to switch back (which was made intentionally a little tougher with this release).

Switch Back to the Classic UI:

  1. Click on your name at the top right of the page
  2. Click “Switch to previous UI”

If you choose to make the switch back, don’t be surprised when Intacct seems a little hurt and asks why.

Bank Reconciliation Permissions

High on many wish lists is a bank reconciliation approval workflow. While we’re not quite there yet, this newest release breaks out permissions for reconciling. That means you can have one user that performs the majority of the bank reconciliation and another that reviews prior to clicking to reconcile. A great breakthrough!

From Intacct’s R2 Release Notes, below is a sample segregation of duties diagram.

How to Enable:

  1. Go To: Company > Admin tab > Roles
  2. Two Options:
    1. Create a new role by clicking Add
    2. Edit an existing role by clicking Edit next to an existing role
  3. Update Permissions: Click to check/uncheck the new bank reconciliation permission checkboxes: Reconcile, Report
  4. Assign Any New Roles: If this is a newly created role, make sure to assign to the appropriate users.

Note: This only applies to the new bank reconciliation available in Action UI. It does not control reconciliation permission in the old bank reconciliation.

Purchasing and Order Entry with User Defined Books

This release introduced two changes to user-defined books within Order Entry and Purchasing:

  1. Have you ever wished for the ability to post to User Defined Books in Order Entry (like you can post Commitments in Purchasing)? If so, this flavor of pizza was made for you and it’s now available!
  2. Intacct also introduced automated reversal of commitment entries upon conversion for a simpler workflow in both Purchasing and Order Entry. This means instead of having 3 steps: PO (posting to a commitment book) > Release of Commitment (posting the reversal) > Vendor Invoice  (posting to AP). You can now have 2 steps: PO (posting to a commitment book) > Vendor Invoice (posts to AP and reverses the commitment).

Prevent Direct Entries to Control Accounts

Remember this smart rule and custom fields combination blog post from late last year? This post covered how to combine custom fields with smart rules to control which journals to allow direct posting to. We also linked to how to prevent posting to subledger accounts using the same methodology available on the developer site.

Release: Intacct has added a new checkbox on your GL accounts so that when checked, a user cannot post to that account.

The Purpose: If you post to a subledger account manually, for example debiting an expense account and crediting ap through a journal entry, it does not propagate through to the subledger leading to discrepancies between your subledger and general ledger. Not a scenario anyone wants to be in. This checkbox prevents exactly that without any smart rules or custom fields!

How to Enable:

  1. Go To: General Ledger > All tab > General Ledger Accounts
  2. Edit: Click to edit the account that is a control account
  3. Enable Checkbox: Check the box to flag it as a control account
  4. Save!

Once enabled, the account is not available in the picklist of GL accounts from a journal entry screen. Pretty neat!

Note: If you prefer a warning, the smart rule and custom checkbox are still an option.
