Intacct Standard Allocations

What factor do you use to allocate utility costs across dimensions? You can’t very well allocate all of the phone bill expenses to the Sales Department (even though they likely are the ones most frequently using the phone). Do you run the General Ledger for a set account (or range of accounts and dimension filters) and then take that aggregate monthly amount and allocate by a percentage? OR do you enter the allocation at the time that you enter your AP bill?

Therein lies the answer to whether you should use Intacct’s Standard Allocations or CLA’s Allocation Management. 

Let’s compare the two:

Intacct Standard Allocations:

  • Allocates transaction amounts across multiple dimensions at the time of transaction entry
  • Use Intacct standard allocations when allocation percentages or amounts and dimensions are known at the time of transaction entry
  • Can be used in the following modules: AP, AR, GL

CLA Allocation Management

  • Allocates general ledger account balances across multiple dimensions at regular intervals (typically monthly)
  • Use CLA Allocation Management when allocation percentages or amounts are not known at the time of transaction entry
  • Is not restricted to modules as it runs on general ledger account balances

Today’s post will cover the topic of Intacct’s Allocation setup and use.

Setting up Intacct Allocations:

Step 1: Navigation

Go to: General Ledger > Open Setup Tab > + Transaction Allocations

Step 2: Add a New Allocation

Fill out the following fields and click Save:

  • Allocation ID
  • Allocate by Percentage, Exact Amount (Absolute), or Fixed Amount with over/under logic
  • Line item percentages or amounts and dimension values

Step 3: Using the Allocation in an AP Bill

To use an allocation in a transaction, select the allocation on the line item of the transaction entry screen.

Upon selecting an allocation, the system removes any dimension values selected for the line item and populates the dimension values from the allocation directly.

To view the allocation splits for the line item, click the Show Details tab.

To edit the allocation splits for this transaction, click Customize Allocation.
